HEALTHCARE NOTES POLICY

Acceptable Use and Copyright Policy

This policy protects safe professional use, account integrity and the intellectual property supporting Healthcare Notes.

Effective 14 August 2026Version 2.3.1Applies to healthcarenotes.org

Permitted use

A current member may use included resources for personal learning, professional reflection and their own lawful nursing work. A member may copy a draft they personally build into an employer-approved clinical record after review.

Educators and organisations require the applicable group or written licence for systematic classroom, cohort, ward or institutional use.

Prohibited use

  • Shared ward credentials, account resale or circumvention of seat limits.
  • Bulk copying, scraping, republishing or building a competing phrase bank or course.
  • Entering patient identifiers, confidential employer records or unlawfully obtained policy documents.
  • Using Healthcare Notes to impersonate a clinician, falsify assessment or fabricate documentation.
  • Attempting to derive source code, bypass entitlement or interfere with security.
  • Using educational content as a patient-specific diagnosis, prescription or order.
  • Uploading content that is defamatory, discriminatory, malicious, unlawful or infringes rights.

Ownership

Healthcare Notes branding, software, visual design, original explanations, taxonomies and curated structure are owned by or licensed to Healthcare Notes. Public authority documents remain owned by their publishers and are referenced rather than claimed.

A user retains rights in original text they independently enter, subject to any employer or legal ownership of the clinical record.

Limited licence

Membership grants access, not ownership. The licence ends when entitlement ends, except for lawful copies of nurse-authored outputs already placed in an approved record or personal CPD evidence.

Enforcement

Material misuse may result in content removal, seat restriction, suspension, termination or legal action. Where safe and appropriate, the user will receive notice and an opportunity to respond.
