Subscription and Billing Policy
This policy explains recurring Healthcare Notes memberships, group seats, payment processing and account access.
Plans and displayed prices
Individual memberships are offered monthly and annually. Group memberships are offered annually unless a written agreement states otherwise. Prices are shown in Australian dollars; individual checkout displays the total payable and any applicable tax before confirmation.
A monthly-equivalent comparison never replaces the prominently displayed annual total. Promotional codes, if offered, apply only under their stated conditions.
Automatic renewal
A subscription renews automatically at the same interval until cancelled. Renewal charges use the saved payment method. The current renewal date and invoices are available in the Stripe Customer Portal.
If a price changes, affected members will receive reasonable advance notice and any choices required by law. Continuing after the notified effective date constitutes acceptance where lawful.
Secure payment processing
Stripe hosts checkout and the billing portal. Available methods may include eligible cards, Apple Pay, Google Pay and Link when enabled and supported for the customer’s device and location. Healthcare Notes does not store full card details.
The account email used at checkout is the primary identifier for linking payment to WordPress access. Members must use an email they control.
Entitlement and failed payments
Access is granted only after Stripe reports an active or trialling subscription through a verified server-side process. A browser success screen alone does not create entitlement.
A failed, incomplete, past-due, unpaid, paused or cancelled subscription may restrict protected modules. Stripe may retry payment or request authentication. Access can resume after the authoritative subscription status returns to an entitled state.
Plan changes
Members can request available upgrades, downgrades or billing-interval changes through the portal or support. Stripe may calculate a prorated amount or credit. The amount and effective timing are shown before confirmation where the portal supports the change.
Moving to a lower tier removes access to higher-tier modules when the change takes effect. Clinical drafts are not retained for later recovery.
Group plans and seats
A group subscription has one billing owner and a stated named-seat limit. The owner can assign and remove seats but cannot access another user’s password, private clinical workspace or nurse-authored draft.
Seats are for named users and may not be used as shared ward logins. Hospital, department and education customers may have additional implementation, content-governance or reporting terms in a written agreement.
Cancellation
The billing owner can cancel in the Stripe Customer Portal or contact maxillarvundi@gmail.com. Cancellation at period end preserves access until the paid period expires. Cancelling does not automatically produce a refund for time already supplied.
Healthcare Notes does not require a telephone call or new account merely to cancel. Service messages confirming cancellation may still be sent.
Invoices, receipts and tax
Stripe provides receipts and invoices using the configured legal business and tax details. Business purchasers are responsible for supplying accurate billing and tax information. Group prices described as excluding GST will have applicable GST or tax identified before payment.
