Layered model

Healthcare Notes separates information into National Core, jurisdictional layers and Verified Local hospital or ward packs. Selecting a hospital personalises navigation; it does not automatically convert generic content into that hospital’s policy.

Requirements for Verified Local status

• A named authorised source or written approval.
• Hospital, health service, campus and ward scope.
• Document title, identifier, version and effective date.
• Reviewer or accountable local role.
• Next review date and a process for source-change monitoring.
• Clear treatment of conflicts with higher authority or newer policy.
• Permission to reproduce or summarise non-public material.

Unverified hospitals

When a user enters a hospital without a verified pack, Healthcare Notes displays National Core content and a clear instruction to check local policy. The absence of a local pack is not concealed and no affiliation is implied.

Private and intranet material

Users must not upload, copy or submit private employer policies, screenshots, forms or intranet content unless authorised. Healthcare Notes may request evidence of authority before publishing or configuring a local pack.

Confidential incident, patient, employee or security information must never be submitted as an example.

Change and expiry

A local pack reaching its review date is flagged for review. A superseded, inaccessible or disputed source may cause the pack to be restricted or returned to National Core status until verified.

Health services purchasing local packs are responsible for notifying Healthcare Notes of relevant policy changes under their agreement.

Names, logos and affiliation

Hospital and ward names may be used descriptively to help users locate a configured pack. Logos, endorsement claims and co-branding require permission. Unless stated in a signed partnership notice, a listed organisation does not sponsor or endorse Healthcare Notes.
